Automating Ministry with Workflows

Set up automated tasks, emails, and alerts based on member actions.

What is a Workflow?

A workflow is a series of automated actions triggered by a specific event. For example, when a "First-Time Visitor" is added to the database, a workflow can automatically assign a follow-up task to a pastor and schedule a welcome email to send 2 days later.

Creating a Workflow

  1. Go to Admin > Workflows and click New Workflow.
  2. Select a trigger event: New Person Created, Form Submitted, Donation Received, Joined Group, or Event Check-In.
  3. Add a filter if needed (e.g., only trigger if the Donation is over $1,000).
  4. Add actions in sequence:
    • Send Email: Send a templated email to the person.
    • Create Task: Assign a to-do item to a staff member.
    • Add Tag: Apply a tag (like "Needs Follow-up") to the person's profile.
    • Delay: Wait X days before executing the next action.

Workflow Templates

To save time, use the Workflow Template Marketplace (available in the Admin menu). Browse pre-built templates for common scenarios like First-Time Visitor Follow-up, Volunteer Onboarding, and Lapsed Donor Re-engagement. Click "Install" to add the workflow to your church's account instantly.
